Requirements

  • 3+ years of experience in office coordination, facilities management, event planning, or a hospitality related role.
  • Strong organizational skills with a keen attention to detail.
  • Excellent written and verbal communication abilities.
  • Ability to multitask and manage time effectively in a hybrid work environment.
  • A proactive mindset with problem-solving skills and the ability to anticipate workplace needs.
  • Proficiency with Microsoft Office Suite and other workplace tools.

Responsibilities

  • Oversee daily office operations, ensuring a well-organized, clean, and functional workspace.
  • Coordinate scheduling for internal and external meetings and space use in the office, including the Customer Experience Center.
  • Manage office supply inventory, including ordering and restocking to maintain a productive environment.
  • Organize the mail management system for on-site deliveries and pickups.
  • Serve as the primary point of contact for on-site vendor relationships, coordinating services such as cleaning, catering, and maintenance.
  • Address and resolve facilities-related issues, working with building management and service providers as needed.
  • Maintain seating charts and office layouts, coordinating with teams on space planning and adjustments.
  • Provide reception coverage 5 days a week, serving as the face of the company to internal and external stakeholders.
  • Facilitate an excellent guest experience by greeting visitors warmly, ensuring a smooth check-in process, providing necessary information, and coordinating hospitality services to create a welcoming environment.
  • Plan and execute company events, including team gatherings, holiday celebrations, and social activities that align with our company culture.
  • Partner with internal teams to support large meetings, training sessions, and special office events.
  • Act as a culture ambassador, fostering an inclusive and engaging workplace environment.
  • Support creative initiatives to enhance the employee experience and workplace morale.
  • Provide general administrative support to ensure smooth office operations.
  • Assist with onboarding and offboarding office related processes, ensuring seamless transitions for employees.
  • Maintain accurate office-related documentation and records, ensuring effective communication across teams and coordination of service needs.
  • Track and submit budgetary expenses for the company’s headquarters location for on-site service vendors.
  • Proactively anticipate office needs and implement solutions to improve efficiency.

Preferred Qualifications

  • Experience in customer service, executive support, hospitality, or event planning is a plus.
