Requirements
- 2+ years of experience in Talent Acquisition, TA Ops, or HR systems support (Workday strongly preferred)
- Demonstrated experience in high-volume or fast-paced hiring environments
- Proficient in Excel and able to manage dashboards, reporting, tracking, audits, and data analysis
- Highly organized, strong attention to detail and able to manage competing priorities to meet deadlines
- Exceptional verbal and written communication skills
- Demonstrates agility, sound judgment, and a proactive, solutions-focused mindset
- Bachelor’s degree in human resources, Business Administration, or a related field
- Strong interpersonal skills with the ability to build relationships with employees at all levels of the organization
- Maintains confidentiality and exercises discretion in handling sensitive information
- Knowledge of employment laws and regulations related to onboarding and hiring processes is a plus
- Demonstrates a strong entrepreneurial spirit, thrives in collaborative environments, communicates ideas effectively, adapts seamlessly to change, influences stakeholders, and proactively identifies opportunities for improvement.
Responsibilities
- Ensure a seamless candidate experience through clear, timely and accurate updates
- Assist team with reviewing candidate resumes, sourcing and screening applicants when needed
- Schedule interviews between candidates, recruiters, and hiring managers across time zones as needed
- Manage interview logistics, confirmations, and candidate communication
- Draft and send offer letters, ensuring accuracy, version control, and compliance
- Track offer lifecycle data (extended, accepted, declined, withdrawn, rescinded)
- Initiate background check, drug screen and pre-hire communication
- Track ‘Did Not Start’ outcomes for improved reporting and audit accuracy
- Partner with HR to support new hire onboarding coordination
- Support contractor onboarding/offboarding
- Open and close requisitions, manage status changes, and support approvals
- Review and post job descriptions to the ATS, external sites, and job boards
- Manage employee referral intake and payout tracking
- Support system enhancement testing, documentation, and scheduling tool integrations
- Generate recruiting metrics such as time-to-fill, offer conversion, offer acceptance rates, and diversity hiring data
- Own internal dashboards and reporting cadences for TA leadership
- Conduct pre-hire and post-hire surveys with candidates and hiring managers to gather feedback on the recruiting and onboarding experience
- Support the development and tracking of Talent Acquisition Net Promoter Score (TA-NPS) metrics
- Analyze and translate data into actionable insights, identify trends, strengths, and opportunities for improvement
- Partner with recruiters and TA leadership to implement feedback-driven initiatives that enhance the candidate and hiring manager experience
- Foster strong, collaborative relationships with hiring managers, recruiters, and new hires to strengthen the Talent Acquisition brand internally
- Identify and recommend on-going improvements in scheduling, onboarding, and candidate engagement workflows
- Maintain updated SOPs and assist with TA tool enhancements, including scheduling platform integrations
- Partner with systems/IT for Workday or vendor enhancements and adoption initiatives
- Partner with recruiters, hiring managers, HR, and IT to streamline processes
- Lead or support ad-hoc TA operations projects such as vendor coordination, compliance initiatives, and scaling efforts for high-volume hiring
- Support both Managed Services and Non-Managed Services hiring teams based on need
- Perform other duties as assigned.
