Requirements

  • 3+ years of experience in recruiting coordination, HR operations, or a related administrative role.
  • Strong organizational skills with the ability to manage competing priorities.
  • High attention to detail and strong written/verbal communication.
  • Comfortable working with confidential information (e.g., NDAs, offer letters).
  • Proficient in Google Workspace and MS Office; ATS experience a plus but not required.
  • Team player with a proactive, flexible attitude and a problem-solving mindset.

Responsibilities

  • Schedule and confirm interviews manually across multiple time zones (no ATS automation).
  • Ensure a high-quality candidate experience by maintaining timely communication.
  • Draft and coordinate offer letters for both salaried and hourly candidates.
  • Facilitate pre-boarding tasks and coordinate with relevant stakeholders to ensure smooth onboarding.
  • Conduct pre-screen calls focused on NDA discussions and logistics.
  • Collect signed NDAs and maintain accurate candidate documentation.
  • Provide white-glove support through each phase of the candidate lifecycle.
  • Assist recruiters with sourcing candidates and tracking talent pipelines.
  • Maintain candidate spreadsheets and ensure up-to-date records.
  • Coordinate and support recruiting events for hourly hiring initiatives.
  • Partner with event leads and recruiting teams to ensure event success.

Preferred Qualifications

  • Experience supporting both salaried and hourly hiring.
  • Prior experience in a fast-paced or high-volume recruiting environment.
