Requirements
- 2+ years’ experience in a Coordinator/Administrator type role, preferably in HR, Talent Management, or Learning & Development.
- Strong organizational and project management skills, with the ability to manage multiple priorities and deadlines.
- Excellent communication and interpersonal skills, with a customer-service orientation.
- Proficiency in MS Office Suite and HRIS/LMS platforms.
- Proficiency in using ATS systems (experience with Ashby or Lever a plus).
- Ability to build relationships and collaborate effectively with stakeholders across all levels of the organization.
- High attention to detail, discretion, and professionalism.
Responsibilities
- Schedule and coordinate interviews across departments, including multi-stage and panel interviews (virtual and onsite).
- Communicate with candidates, hiring managers, and interviewers to ensure a smooth and engaging recruitment experience.
- Serve as the primary contact for onsite interviews in our LA office—greet and guide candidates.
- Proactively troubleshoot scheduling issues or last-minute changes with professionalism and urgency.
- Provide administrative support for annual talent review cycles, including data collection, meeting logistics, calendar management, and follow-ups.
- Maintain accurate records and documentation related to performance, feedback, and talent development activities.
- Contribute to the creation, maintenance, and promotion of career path frameworks.
- Coordinate the planning, scheduling, logistics, and communication for training sessions, workshops, and learning events (both virtual and in-person).
- Support learning needs analysis and assist in sourcing or developing relevant learning solutions.
- Liaise with internal stakeholders and external vendors to ensure effective delivery of learning solutions.
- Prepare and maintain training materials, attendance records, and evaluation data.
- Support other key L&D programs such as 360 Leadership Reviews, Individual Development Plans, and Mentorship Programs.
- Serve as the primary contact for talent and learning inquiries, managing shared inboxes and providing timely responses to leaders and employees.
- Prepare documentation, presentations, and reports for talent and learning initiatives.
- Participate in internal and external meetings, contributing to the development and delivery of new and existing programs.
Preferred Qualifications
- Experience with Ashby or Lever ATS systems is a plus.
