Requirements

  • Bachelor’s degree
  • One year of directly related experience coordinating complex administrative functions
  • Demonstrated ability to identify and understand issues, problems, and opportunities and take action with patience, precision and resolve
  • Ability to think strategically and support diverse student populations in an effective and empowering manner
  • Experience in providing excellent customer service, demonstrating the highest degree of accuracy, integrity, and professionalism
  • Extremely detail-oriented
  • Excellent interpersonal skills
  • Ability to handle stressful situations with composure
  • Ability to supervise, train and mentor student associates
  • Proficiency with business software including MS Word, Outlook, and Excel
  • Ability to remain productive in a fast-paced environment with frequent interruptions
  • Comfort with ambiguity and changing priorities

Responsibilities

  • Maintains student files and academic records in accordance with university and state policy
  • Serves as office manager; coordinates supplies, and resources needed for successful office management
  • Manages the daily coordination of meeting rooms, office spaces, workroom, and breakroom spaces
  • Provide high-level administrative support to the leadership team of Undergraduate Education as directed
  • Supervises Moody Advising front desk operations and student workers
  • Oversees the hiring, training, and supervising of front desk students and the day-to-day operations of the front desk
  • Processes petitions relating to student academic records
  • Routes petitions for review by content experts, as needed
  • Processes transactions, drops, pass/fail requests, late adds or registrations, withdrawals, etc. in accordance with university policy
  • Collaborates with the Office of the Registrar as necessary
  • Serves as an active, positive, and engaged member of the Moody Undergraduate Education staff
  • Effectively listens, encourages, and supports other team members and students
  • Acts in an approachable, respectable, and positive manner
  • Fully participate in all Moody College of Communication signature events and programs which include but are not limited to: Career Expo, Honors Day, Family Weekend, CommUnity and Gone To Texas, Graduation and Commencement events, and Freshman/Transfer Orientation
  • Other duties as assigned

Preferred Qualifications

  • Experience training and supervising novice workers
  • Experience developing training curriculum and presenting materials
  • Experience navigating University of Texas at Austin related policies and procedures, especially those related to academic records or records retention
  • Experience supervising staff or student workers
