Requirements

  • High School Diploma or equivalent, plus additional broad specialized training equal to two years of college, with two years related experience in long-term care.
  • Acumen in basic mathematics (arithmetic calculations)
  • Intermediate computer skills, primarily MS-Word, Excel, and Outlook
  • Excellent organizational skills and be detail oriented
  • Strong communication (verbal and written) in English.

Responsibilities

  • Performs administrative support services such as sending out forms, filing, creating forms, taking care of, composing and distributing flyers as it relates to communicating with floor staff.
  • Develops monthly computerized schedule for Terraces Heath Services – assisted living, memory support and health center and updates as appropriate.
  • Takes call-ins and arranges substitute staffing, including coordinating/scheduling agency replacement as needed.
  • Maintains Employee List of Nursing Staff Roster and telephone numbers for Assisted Living, Memory Care and Health Center.
  • Reviews schedule daily to assure coverage is appropriate.
  • Conducts initial interview screen for team members, including application review and interview set-up.
  • Processes and records employee absences; notifies care managers of absenteeism/tardiness patterns.
  • Processes and amends schedules to reflect shift trades, additional shifts, replacements for terminated employees, orientation and work for new hires, and staff hour reductions during periods of low census.
  • Serves as a liaison to care managers concerning all manner of staff complaints, suggestions, and concerns.
  • Reviews employee timecards to verify hours for payroll.
  • Prepares and processes Expense Reports for staff license renewal fees reimbursement and other expenditures.
  • Maintains and updates forms and databases, including, but not limited to: daily nursing report sheets.
  • Orders, stores, and distributes medical supplies while maintaining a perpetual inventory through the use of par-level supply management including tracking and scanning of resident supplies.
  • Provides supply management customer service to employees, ensuring the employees have the right supplies at the right time and location to conduct efficient, organized, and professional quality care.
  • Conducts timely, monthly resident billing of supply management.
  • Uploads and codes invoicing into the approved Transforming Age electronic invoicing system (Avid Exchange) consistently and timely to ensure timely payment of invoices.
  • Maintains a current spend-down budget system to maintain expenditures within budgetary guidelines and parameters.
  • Handles all forms of resident Protected Health Information (PHI) in a confidential, private, and secure manner.
  • Performs other duties as assigned.

Preferred Qualifications

  • CNA or Home Care Aide certification is preferred.
