Requirements
- HS Diploma required; Associates’ degree or professional certification preferred
- 6+ years of experience at Executive Assistant or Sr. Executive Assistant level (2+ years of Baxter experience preferred but not required)
- Excellent written, verbal and interpersonal communication skills and ability to interact with senior leadership internally and externally
- Excellent organization and project management skills; Identify new solutions to complex problems. Understand available resources and deliver on short notice.
- Experience working with Global teams and internal/external business partners
- Must possess outstanding critical thinking skills, exercise sound business judgment; results and solutions oriented supporting a fast-paced frequently changing environment; ability to work independently and identify proactive solutions to sophisticated situations (especially when dealing with ambiguity); Quickly and decisively acts in fast-changing, unpredictable situations. Demonstrate exceptional anticipation skills, ability to grasp the big picture yet track operational detail.
- Shows a tremendous amount of initiative in tough situations; is exceptional at spotting and seizing opportunities.
- Leader; go-to resource for admin team. Ability to motivate others and manage differences.
- Exceptional Outlook calendar management/scheduling skills
- Exceptional knowledge of PowerPoint, Word, Excel, Outlook and computers/systems
- Highly proficient in invoice/PO processing, COUPA knowledge a plus
- Exceptional knowledge of Zoom, Webex, Teams and video conferencing. Adjusts with new technology and shifts in business strategy.
- Leadership role providing administrative support/management of internal and external events as requested.
Responsibilities
- Direct support for the Strategy & Business Development and Internal Audit organizations and indirect support for department activities and employees
- Coordinate/manage schedules for corporate leaders.
- Build/prepare correspondence and complex presentations. Develop database/spreadsheets.
- Coordinate global and domestic travel arrangements, including air, ground transportation, hotels, visas/passports, and meeting coordination
- Prepare expense reports; manage department credit line for purchases. Apply and implement internal policies and provide training as needed.
- Support departmental projects and projects manage/event coordinate departmental meetings and events which could include both in-person or virtual or mixed events.
- Support with departmental new hire onboarding/departure and facilitate as needed guest/visitors’ registration
- Support the Chief Audit Executive with Audit Committee material process (Quarterly)
- Provide support with meetings schedules for the annual Enterprise Risk Management exercise
- Professional organization membership support for department annually (IIA.org, etc.)
- Provide support managing key metrics for department as it tied out to department objectives set forth by the Chief Audit Executive
- Support with annual Global Team Meeting, including helping with logistics and event management alongside IA management team members
- Provide ad-hoc support as applicable with AuditBoard tool (Internal Audit Documentation)
Preferred Qualifications
- 2+ years of Baxter experience preferred but not required
