Requirements

  • 2-3 years of experience in creative project and/or traffic management
  • Thorough understanding of creative workflows from concept to execution
  • Strong planning, and organizational skills with an ability to manage high volume workflows with rapid turnaround times and shifting priorities
  • Exceptional personal skills, knowledgeable and confident when interfacing with stakeholders and collaborators
  • Excellent verbal and written communication, able to clearly and concisely convey information across audiences with varying levels of experience working within the creative sphere
  • Proactive problem solver with an eye for risk assessment while maintaining a solution-oriented mindset
  • Proficient in Smartsheet or similar project management tools (Asana, Wrike, Notion, Workfront)
  • A passion for design, culture, and the power of creative storytelling at a global scale

Responsibilities

  • Monitor and manage the Brand Design project board on Smartsheet, ensuring that new project requests are reviewed for completion and accuracy
  • Assign projects according to priority, scope, due date, and resource availability
  • Review project details with assigned creative team member(s) to ensure alignment and clarity
  • Flag project requests which require further information; schedule and lead intake meetings as necessary
  • Lead morning check-ins to go over daily assignments and projects in progress, identify and report risks and issues to leadership
  • Traffic design proofs to stakeholders and collaborators and ensure feedback is received in a timely manner through the appropriate channels
  • Consolidate notes and feedback with clearly defined action items and next steps to share with the design team
  • Coordinate live collaboration sessions for more complex projects which require additional cross-functional alignment
  • Utilize Smartsheet to produce reports on team capacity, resource allocations, and project statuses
  • Act as the guardian of capacity and champion of well-being by serving as the first point of contact, allowing designers to focus on their work
  • Communicate with stakeholders about processes, lead times, and ways of working; field questions and provide insights into best practices, requirements, team capacity, and capabilities
  • Manage weekly communication with stakeholders to provide updates on active projects and check-in on content and information gathering for pending projects
  • Establish strong relationships with project management and operational team members throughout the organization and become a trusted source of truth for working with our team
