Requirements

  • A.A. (or equivalent degree) and 6 years of relevant work experience, or H.S. Diploma and 7 years of relevant work experience.
  • Proficient knowledge of Microsoft Office tools, including Word, Excel, PowerPoint, Visio, Teams, and SharePoint is required.
  • Must have extensive knowledge of administrative practices, to include preparing expense reports and purchase requisitions, and coordinating meetings, events and travel.
  • Must be extremely dynamic, demonstrate initiative, and have the ability to multi-task in a very fast paced-environment.
  • Must be able to develop solutions to complex problems requiring a high degree of ingenuity and innovation.
  • Must have experience in influencing or developing goals and objectives.
  • The ability to obtain and maintain a Secret U.S. Security Clearance is required.

Responsibilities

  • Provide proactive administrative support to leaders at the Director and/or Vice President levels.
  • Actively contribute to the development and execution of various enterprise-wide projects and goals.
  • Respond to and direct inquiries from internal and external sources.
  • Create, consolidate, and route reports, presentations, and spreadsheets.
  • Prepare and submit expense reports and purchase requisitions on behalf of leaders and their teams.
  • Maintain executive contact information and filing system processes.
  • Coordinate the administrative execution of all business meals, on-site meetings, and events.
  • Support front desk operations, creating a welcoming environment for all visitors.
  • Screen, badge, and announce visitors in accordance with security procedures.
  • Answer and direct all incoming calls in a courteous manner.
  • Receive, sort, and distribute daily mail deliveries, and facilitate shipping and receiving of office items.
  • Maintain office and breakroom supplies, and schedule office equipment maintenance.
  • Coordinate conference room set-up, catering, and IT equipment requests.
  • Contribute to the completion of various projects and goals for Administration, Human Resources, and Security.
  • Perform additional tasks as assigned.

Preferred Qualifications

  • Experience with Security and Safety protocols, ensuring compliance and smooth operations within the office environment.
  • Proficiency with Concur Travel and Expense platform or other travel management systems, streamlining travel and expense processes.
  • Strong project management skills, with the ability to handle multiple projects simultaneously and deliver on time.
  • Knowledge of advanced office management practices and experience in improving office efficiency and productivity.
  • Demonstrated ability to adapt to changing priorities and work independently with minimal supervision.
