Requirements
- Extensive Knowledge of Specialty Gases: A deep understanding of various specialty gases, their properties, applications, and handling requirements is essential.
- Proficiency in Gas Coordinator Duties: Thorough comprehension of the daily responsibilities and processes associated with a Gas Coordinator role is mandatory.
- Experience with Google Sheets: Demonstrated strong proficiency in utilizing Google Sheets for data management, analysis, and reporting is a critical requirement.
- Minimum Experience: A minimum of one (1) year of proven experience in a Gas Coordinator role.
- Minimum Experience: A minimum of one (1) year of experience in basic sales support duties.
- Strong Communication Skills: Excellent verbal and written communication skills are necessary to effectively interact with internal teams, external sales, and potentially customers.
- Detail-Oriented: A meticulous approach with a strong focus on accuracy is crucial for managing quotes, part numbers, and technical information related to specialty gases.
- Time Management Skills: Proven ability to prioritize tasks, manage deadlines effectively, and work efficiently in a fast-paced environment is essential.
- Relationship Building: Demonstrated ability to build and maintain positive and collaborative working relationships with our outside specialty gas sales team is critical for success in this role.
Responsibilities
- Maintain a high level of customer service by assisting sales force via telephone, email, fax, or in person.
- Handle busy incoming telephone orders and email orders/inquiries in a professional manner.
- Daily communication with sales force personnel regarding quotes, order status, deliveries, back orders and issues pending.
- Ability to create customer usage reports and sales impact analysis via data extraction from SAP, BW, Power BI and Sales Force Complete customer follow up on quotes, inquiries, order status (expedite orders), deliveries and issues resolved.
- Create quotations based upon sales reps input.
- Create and maintain customer files with proper documentation.
- Work with retail branch personnel to stock appropriate product levels as requested by sales representatives.
- Submit and update contract pricing, obtain approvals as needed.
- Assist accounts receivable with problem invoices, research and gather supporting documentation and submit corrections as required.
- Identify urgency of order and report to necessary departments.
- Communicate with the operations department customer’s urgent needs and stock on hand.
- Order and distribute sales and marketing related information.
- Accurately complete all daily, weekly, monthly paperwork on a timely basis.
- Assist sales in managing equipment/field assets. This includes tracking and documentation.
- May be called on to help coordinate activities and events as required for both internal and external events and meetings.
- Adhere to all company policies and safety procedures and guidelines.
- Work designated or voluntary overtime as required (may include weekends).
- Attend weekly departmental meetings and safety training as required.
- Ensure proper and full time use of PPE.
- Lead and promote safety, attend safety meetings, and strictly observe safety rules.
- Ensure any injury or accident is reported immediately and investigated promptly.
