Requirements

  • At least 10 years of relevant experience supporting program operations, procurement tracking, logistics coordination, or related project lifecycle oversight
  • Bachelor’s degree required – a master’s degree is preferred. Four (4) additional years of directly relevant experience may substitute for a master’s degree
  • Demonstrated experience managing dashboards, trackers, or workflow tools to monitor multi-step processes with concurrent handoffs and interdependencies
  • Strong organizational and prioritization skills, with the ability to apply SLA logic, triage requests, and manage shifting deadlines in a complex operational environment
  • Proven ability to coordinate across multiple stakeholder groups, including program management, procurement, finance, logistics, and external vendors – without direct authority
  • Experience with procurement support functions, such as MEL management, PR/RIP tracking, delivery documentation, or material disposition coordination
  • Excellent communication skills, both written and verbal, with the ability to convey complex process status clearly to diverse stakeholders
  • Self-directed and highly accountable, with a demonstrated ability to track issues through to resolution and elevate blockers appropriately
  • Proficiency with Microsoft Excel and other Office tools used to develop and manage process trackers, dashboards, and coordination reports

Responsibilities

  • Prioritize procurement actions based on risk, funding, and operational urgency, aligning activities with project schedules, SLAs, and contractual deadlines
  • Coordinate inputs from Project Managers, Analysts, Buyers, and Financial Analysts to ensure timely, well-documented handoffs that meet internal workflow expectations
  • Proactively identify and escalate delays, gaps, or stalled actions to stakeholders for timely resolution, preventing schedule or budget impacts
  • Serve as the central point of contact for procurement tracking, material status, and logistics visibility, providing accurate, up-to-date information to internal teams and government customers
  • Liaise with expediters, vendors, and logistics personnel to verify Estimated Delivery Dates (EDDs), update documentation, and confirm fulfillment against Material & Equipment Lists (MELs)
  • Ensure accuracy and completeness of traceability documentation, including MEL updates, DD1149s, shipment tracking, receiving confirmations, and disposition records
  • Leverage read-only access to procurement systems (e.g., ServiceNow, Diogenes) for data validation and audit-readiness, strictly adhering to role-based authority boundaries (no pricing, PO cutting, or commitments)

Preferred Qualifications

  • Familiarity with government procurement and logistics workflows, including MELs, DD1149s, NCSJs, and receipt/disposition documentation
  • Understanding of material tracking and traceability for audit readiness and compliance (e.g., PRs, vendor quotes, POs, packing slips)
  • Experience with ticket-based procurement systems like ServiceNow for workflow monitoring and status updates (end-user only)
  • Knowledge of vendor coordination practices, including lead time communication, EDD updates, and follow-up across multiple vendor tiers
  • Exposure to DoD or federal contracting environments, with awareness of approval hierarchies, funding constraints, and material procurement compliance
  • Prior experience coordinating across geographically dispersed teams or remote procurement environments where asynchronous updates and documentation rigor are essential
