Requirements

  • 7+ years of experience in strategic event management
  • 5+ years experience within digital advertising
  • Budgeting and timeline management experience
  • Ability to travel to assigned events
  • Bachelor’s degree in business, hospitality, communications or related field and 4 years’ experience in project management, hospitality, communications, event management or related field OR 6 years’ experience in project management, hospitality, communications, event management or related field.

Responsibilities

  • Oversee end-to-end logistical execution for an annual roster of events.
  • Create impactful event activations that achieve and measure targeted goals.
  • Create and lead event planning timelines inclusive of kick-off meetings, briefings with internal attendees, creative briefings for brand managers and creative teams. Ensure all deadlines are met.
  • Cultivate important relationships for crucial collaboration– aligning multiple different partners around the vision for each event you produce.
  • Work with brand team to build customer-facing event communications including invitations, agendas, onsite collateral, and signage.
  • Oversee the creation of an always-up-to-date master PowerPoint presentation for each event that outlines every detail.
  • Identify and secure venues through comprehensive sourcing, detailed site visits, and strategic selection to ensure the perfect fit for every event.
  • Evaluate vendor services and venues according to industry standards and client requirements; communicate and gain agreement on recommendations.
  • Negotiate contracts for hotels, venues and vendors, including F&B, any/all audio-visual elements appropriate for events.
  • Registration/list management (e.g., invite lists, attendee management, rooming lists, name badges in partnership with lead development representatives).
  • Be the on-site leader to coordinate vendors, assist internal attendees, welcome guests, and promptly resolve issues in real-time.
  • Create post event follow ups and surveys to measure and document success.
  • Manage invoice payment and post event reconciliation.
  • Gather insights from each activation and provide recommendations to enhance future events, improve outcomes, and increase efficiencies.
