Requirements
- Bachelor’s degree in Facilities Management, Business Administration, or related field.
- 7+ years of experience in facilities management, with at least 5 years in a leadership role.
- Strong financial acumen and experience in budget management.
- Excellent communication and interpersonal skills.
- Proven track record in client relationship management and service delivery.
- Experience with facilities management software.
- Strategic thinking and problem-solving skills.
- Knowledge of industry best practices and emerging trends in facilities management.
- Ability to lead and motivate teams in a fast-paced environment.
- Proficiency in data analysis and reporting.
Responsibilities
- Manage the performance and outcomes of assigned staff reporting to the position.
- Maintain interface with third party owners (Landlords), ensuring total contract (Lease) compliance, accurate and timely reporting, and resolve critical impact tenant relations issues.
- Foster and grow the relationship with the client through effective service delivery.
- Transition from tactical delivery to strategic support of the client.
- Provide overall facility services in accordance with accounts’ standard processes and procedures including application of policies and programs, coordination of information.
- Ensure compliance with portfolio wide initiatives and required local, state and federal laws and regulations that pertain to the operating of facilities entrusted to the Facility Partners to manage on behalf of the client as owner.
- Manage, coordinate, and exercise functional responsibility for Facility Management services within assigned facilities and geography.
- Prepare, submit and manage facility budgets with the clients’ goals and objectives addressed, track variances and ensure smooth recovery process.
- Support prompt collection of management fees and reimbursements from 3rd parties.
- Responsible for overall team management, staff development and planning. Execute staff succession and growth plans.
- For every direct report, build actionable and measurable career development plans; direct report in consistent conversations regarding progress.
- Improve overall team effectiveness and enhance communications.
- Provide leadership for client initiatives.
- Overseeing all phases of large-scale facility relocations, from initial feasibility studies to post-move evaluations.
- Developing plans to minimize employee downtime and maintain productivity throughout the relocation process.
- Managing the readiness of new spaces, including buildouts, renovations, and facility modifications.
- Working closely with IT, HR, Finance, and other departments to align relocation efforts with organizational goals.
- Potential relocation risks and implementing backup strategies to avoid disruptions.
- Ensure adherence to project timelines and commitments, delivering on time and on budget.
- Leverage appropriate JLL resources and expertise for specific projects.
- Achieve and maintain contracted Key Performance Indicators (KPIs) and Service Level Agreements (SLAs).
- Conduct financial analysis, including monthly variance reports.
- Create and manage operational and annual capital budgets.
- Implement cost-reducing initiatives.
- Ensure accurate metrics and reporting with improved data analytics and Business Intelligence (BI).
