Requirements

  • 4+ years of tactical/strategic administrative support at the Executive level within a SaaS company
  • Bachelor’s degree in a Business Administration/related program, or equivalent work experience
  • High proficiency with Slack, Google Apps, Concur, Workday and MS Office Suite
  • Demonstrated professionalism, exceptional communication, and interpersonal skills
  • Ability to remain flexible and agile in a constantly changing environment
  • Stakeholder management skills, ensuring teamwork, collaboration and alignment across Engineering SLT members

Responsibilities

  • Work closely and effectively with Executives to keep them well informed of upcoming commitments and responsibilities, following up appropriately
  • Strategize regularly with Executives, proactively handle matters, and follow-through on meetings, projects, and initiatives to successful outcomes, often with deadline pressures while maintaining confidentiality
  • Keeps finger on pulse and activities of the Engineering team, escalating concerns to management as appropriate and identifying solutions in areas where potential improvements are needed
  • On behalf of Executives, communicate directly and professionally with their direct reports, senior leadership, customers and partners on matters related to their organization. Oversees new hire onboarding for Engineering
  • Support Executive in preparation of team meetings, capture action items, run point on resolution and circulate meeting notes
  • Complex calendar management: Updating meeting cadences to reflect business priorities, aligning with Executives on schedules, proactively scheduling complex/large meetings, working with external and internal stakeholders regularly
  • Independently handle travel coordination and monthly expense reconciliation
  • Execute delegated tasks such as creating job descriptions/requisitions, managing approvals on behalf of Executives
