General Notes
The Institute for Geophysics (UTIG), an organized research unit in the Jackson School of Geosciences, seeks to hire a Research Administration Manager. The position is located at The University of Texas J.J. Pickle Research Campus in northwest Austin. UTIG is one of the three research units of the Jackson School of Geosciences at the University of Texas at Austin. Scientists and students at UTIG conduct expeditionary research in Earth Science in all parts of the world, and are also involved in planetary missions and climate modeling.

Purpose
In coordination with other departmental leadership, manage pre- and post- award research administration activities for the Institute for Geophysics.
Responsibilities
Manage preparation of research and service agreement proposals for submission to prospective sponsors in accordance with University and sponsoring agency guidelines and deadlines. Assist proposal coordinators and research staff with budgets and cost share commitments, as well as departmental and OSP reviews, and submission of proposals. Coordinate with the Office of Sponsored Projects, Discovery to Impact (industry contracts), and Business Contracts (non-research) as needed.
Oversee administration of subrecipient pre- and post-award activities, including coordinating issuance of and modifications to subawards and subcontracts, deliverables tracking, and invoice review and payment coordination.
Process and track wire transfer payments and voucher payments for service agreements and UTIG travel card billing. Provide backup for payment processing on direct billing accounts, freight shipping, departmental procurement cards, and eShipGlobal.
Manage accounts receivable, including but not limited to: preparation and tracking of invoices and financial documentation for funds-coming-in service agreements, UTIG Industrial Affiliates Programs (IAPs), and cost center equipment usage fees. Process cash and check receipt vouchers.
Provide other financial and accounting activities, including but not limited to: monitoring accounts for needed fee collections, income allocations, and negative account and subaccount balances. Independently address each as appropriate. Process expense transfers. Handle funds allocations within and between accounts for incoming funds, account rebudgets, and departmental commitments.
Perform departmental financial reporting activities, including monthly PI Financial reports, and monthly and quarterly specialized reporting for sponsored projects and other departmental research, operations, and student support activities. Develop new reports as requested.
Supervise student worker(s) who provide administrative support.
Other related functions as assigned.
Required Qualifications
- Bachelor’s degree.
- Five or more years of professional experience in research administration or a related area.
- Demonstrated advanced knowledge of general computer programs, including Microsoft Excel and Adobe Acrobat Pro. Familiarity with database software (FileMaker, Access, etc.)
- Initiative, creativity, and problem-solving skills.
- Excellent oral and written communication, customer service, and interpersonal skills.
- Must be eligible to work in the United States for an employer on a full-time basis.
Preferred Qualifications
- More than the required years of experience.
- Demonstrated knowledge in proposal submission and award management for private and federal sponsors.
- Previous supervisory-level experience.
Salary Range
$78,000+ depending upon qualifications
