Requirements
- High school diploma or general education degree (GED)
- Associates or Bachelor degree preferred
- Three or more years related experience and/or training in commercial real estate including industrial
- Ability to read and comprehend simple instructions, short correspondence and memos
- Ability to write simple correspondence
- Ability to effectively present information in one-on-one and small group situations
- Ability to add, subtract, multiply and divide in all units of measure
- Ability to compute rate, ratio and percent and to draw and interpret bar graphs
- Ability to solve practical problems and deal with a variety of concrete variables
- Ability to interpret a variety of instructions furnished in written and oral form
- Ability to type at least 60 words per minute with 90% accuracy
- Proficient knowledge of Microsoft Word, Excel and PowerPoint
- Proficient in Yardi
- Ability to work flexible hours which may exceed 8 hours in a day, 5 days in a week or 40 hours in a week
Responsibilities
- Answer telephones within three rings and direct callers appropriately
- Provide direct administrative support to Managers and Chief Engineer
- Maintain and update Certificate of Insurance tracking for Tenants and Contractors
- Open and distribute mail daily
- Ensure all document/paper work for the property is filed weekly
- Check email regularly and respond to Tenant Service Requests
- Monitor status of postage meter and order supplies as needed
- Ensure compliance level of management audit is maintained
- Assist engineering staff in preparation of annual Operations Audit
- Ensure all invoices for the property are coded and paid
- Prepare manual adjustment forms for Tenant Service Requests
- Responsible for daily review of Tenant Service Requests
- Monitor tenants calls pertaining to extermination needs and coordinate with contractor
- Provide superior customer service to all tenants, clients, contractors and vendors
- Assist in planning and coordination of tenant events at the property
- Review, update and revise tenant handbook as necessary
- Coordinate all arrangements for tenant move-ins and ensure compliance with checklist
