Requirements

  • High school diploma or general education degree (GED)
  • Associates or Bachelor degree preferred
  • Three or more years related experience and/or training in commercial real estate including industrial
  • Ability to read and comprehend simple instructions, short correspondence and memos
  • Ability to write simple correspondence
  • Ability to effectively present information in one-on-one and small group situations
  • Ability to add, subtract, multiply and divide in all units of measure
  • Ability to compute rate, ratio and percent and to draw and interpret bar graphs
  • Ability to solve practical problems and deal with a variety of concrete variables
  • Ability to interpret a variety of instructions furnished in written and oral form
  • Ability to type at least 60 words per minute with 90% accuracy
  • Proficient knowledge of Microsoft Word, Excel and PowerPoint
  • Proficient in Yardi
  • Ability to work flexible hours which may exceed 8 hours in a day, 5 days in a week or 40 hours in a week

Responsibilities

  • Answer telephones within three rings and direct callers appropriately
  • Provide direct administrative support to Managers and Chief Engineer
  • Maintain and update Certificate of Insurance tracking for Tenants and Contractors
  • Open and distribute mail daily
  • Ensure all document/paper work for the property is filed weekly
  • Check email regularly and respond to Tenant Service Requests
  • Monitor status of postage meter and order supplies as needed
  • Ensure compliance level of management audit is maintained
  • Assist engineering staff in preparation of annual Operations Audit
  • Ensure all invoices for the property are coded and paid
  • Prepare manual adjustment forms for Tenant Service Requests
  • Responsible for daily review of Tenant Service Requests
  • Monitor tenants calls pertaining to extermination needs and coordinate with contractor
  • Provide superior customer service to all tenants, clients, contractors and vendors
  • Assist in planning and coordination of tenant events at the property
  • Review, update and revise tenant handbook as necessary
  • Coordinate all arrangements for tenant move-ins and ensure compliance with checklist
