Requirements

  • A bachelor’s degree in business, court administration, public administration, or a related field.
  • At least three (3) years of professional legal secretarial, progressively responsible court support, or paralegal experience.
  • Any combination of education and experience equivalent to seven (7) years of experience that typically supports the knowledge, skills, and abilities for the position.

Responsibilities

  • Handle difficult probate case management issues, including reviewing complex files and determining next steps.
  • Sign orders as granted by the Presiding Judge’s general order, ensure pleadings are sufficient, and establish or close estates, guardianships, and conservatorships.
  • Audit annual accountings and prepare detailed memorandums for judges to review.
  • Help pro se litigants complete their domestic relations paperwork and review their court paperwork for accuracy and completeness.
  • Administer and coordinate the court’s Family Facilitation Program and participate in the Northwest Oregon Facilitation Initiative program.
  • Perform complex data entry, start new cases, and enter orders, complaints, mandates, motions, petitions, and waivers.
  • Provide information about court policies and procedures, the status of cases, and court calendars to judges, court staff, attorneys, parties, agencies, and the public.
  • Respond to difficult requests for information and complaints, process payments, and approve fee waivers and deferral orders.
  • Provide backup coverage for Civil Department staff members, scan documents into the case management system, and review and route documents filed through the File and Serve system.

Preferred Qualifications

  • Experience developing and coordinating a calendar consisting of various meetings, hearings, cases, etc.
  • Experience providing customer service to a variety of individuals in challenging circumstances.
  • Experience responding to complex legal questions and explaining processes, procedures, policies, or decisions.
  • Experience reviewing legal documents for accurate accounting and balancing of accounts.
  • Experience setting deadlines to ensure compliance with statutory requirements.
