Requirements
- High School Diploma and 6+ years’ relevant professional experience, or an equivalent combination of education and experience
- Advanced expertise in Microsoft Office software (Word, PowerPoint, Outlook and Excel)
- Ability to coordinate Outlook calendar, conference call, and shared link applications
- Prior experience coordinating both on and off-site meetings and/or events
- Ability to complete a wide variety of tasks with minimal supervision
- Experience with travel planning
- Ability to work onsite full time
- Ability to compile and generate reports and presentations
- Experience proofreading and correcting documents for grammatical errors
- Proactive, highly motivated and adaptable, with excellent organizational skills including the ability to juggle multiple tasks, changing needs, and competing priorities
- Highly developed verbal and written communication skills and proven success in organizing, prioritizing, and completing assigned responsibilities with attention to detail
- Ability to interface with executive level internal and external contacts with considerable autonomy
- A positive, can-do attitude and a willingness to work on a variety of tasks
Responsibilities
- Coordinate meetings, both onsite and offsite, including internal and external participants. This includes ordering and setting up catering, post-visit clean-up, planning agendas, and potentially keeping and distributing minutes
- Work with visitors and customers to schedule onsite meetings, organizing all necessary logistics
- Arrange, maintain, and modify the leaders’ schedules and associated organizational activities
- Maintain calendars for events, conferences, and proposal related activities
- Assist the team with all aspects of travel logistics, including booking flights, hotels, rental cars, and other arrangements as needed
- Handle confidential business matters with discretion
- Support HR/Recruiting team with new hire onboarding, swag distribution, and creation of employee/candidate materials
- Partner with marketing team to source, order, and distribute employee and candidate swag
- Manage employee appreciation events and coordinate employee gifts
- Receive, sort, scan mail, and ensure soft copies are delivered to appropriate individual and hard copies are shredded
- Manage company contact methods including phone messages and email inbox, responding to and triaging requests as appropriate
- Support team as needed
- All other duties as assigned
