Requirements
- Bachelor’s degree or equivalent experience.
- 2–4 years of combined experience in office administration and recruiting coordination, ideally in a fast-paced or startup environment.
- Strong organizational skills and attention to detail; able to juggle multiple responsibilities with grace and efficiency.
- Excellent interpersonal and communication skills, with a service-oriented mindset.
- Comfortable with scheduling tools, calendar management, and applicant tracking systems.
- Resourceful, proactive, and energized by creating great experiences for both internal teams and external candidates.
Responsibilities
- Oversee day-to-day office operations including maintaining supplies, equipment, and snacks to support a productive and welcoming environment.
- Serve as the primary liaison with the landlord and building management to resolve maintenance or facility issues quickly and efficiently.
- Coordinate office upkeep, IT support, and safety protocols to ensure a smooth and compliant workplace.
- Plan and execute in-office events such as team happy hours, milestone celebrations, and company-wide gatherings that foster community.
- Track and manage office-related budgets, vendor contracts, and purchasing needs in coordination with the Finance team.
- Support onboarding logistics by preparing workspaces and access for new hires.
- Work closely with hiring managers and recruiters to schedule and coordinate interviews across time zones and roles, ensuring timely and clear communication at every step.
- Provide a high-touch candidate experience by managing communications, logistics, and follow-ups from application through offer.
- Coordinate debriefs and feedback collection to drive alignment and decision-making within hiring teams.
- Support recruiting-related initiatives such as events, sourcing campaigns, and onboarding transitions.
