Requirements

  • Two years of general clerical experience that includes keyboarding, word processing, or other experience generating documents; OR
  • An associate degree in any field; OR
  • An equivalent combination of education and experience.
  • Experience handing front desk responsibilities, ensuring efficient and professional interactions with guests and clients.
  • Demonstrated ability to maintain a high level of organization, consistency, and attention to detail.
  • Experience clearly communicating program rules, regulations, and procedures to ensure understanding and compliance.
  • Experience using computers to process, enter, and verify detailed data with accuracy and efficiency.
  • Experience working with diverse populations, demonstrating cultural awareness, empathy, and adaptability in various interactions.
  • Demonstrated adaptability by seamlessly transitioning between multiple work location branches while efficiently supporting a variety of tasks.

Responsibilities

  • Maintain lobby, answer phones, answer inquiries and explain rules and policies.
  • Distributes and issues parking permits (employees), issues cash vouchers, bus passes, fishing, parent mileage and logs transactions (TRACS, OR-Kids).
  • Receive and log medical records in a spreadsheet and distribute them to the requesting caseworker.
  • Communicates results for background checks and files documentation.
  • Coordinate with the Oregon Department of Corrections for parents who are incarcerated to appear by telephone.
  • Research parent information, calls, mails letters and documents.
  • May conduct final search of systems and prepare affidavit for court documenting search efforts to allow child welfare case to proceed in absence of parent.
  • Searches systems to attempt to locate contact information for missing parent: DHR (Self Sufficiency and licensing information); jail and prison rosters; Department of Defense Manpower Data Center; social media; Accurint; and any other system that is relevant to the specific client.
  • Update and document all investigation inquiries, and contacts made in tribal search record.
