Requirements
- Fluent in both French and English, with excellent written and verbal communication skills in both languages
- Previous experience in office coordination, administration, hospitality, or a similar role
- Strong organizational skills and the ability to manage multiple tasks and priorities
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office-management software
- Ability to work independently and as part of a team in a fast-paced environment
- Strong interpersonal skills and a customer-service-oriented mindset
Responsibilities
- Manage the daily operations of the office, ensuring that everything runs smoothly and efficiently
- Serve as the first point of contact for visitors, clients, and employees, greeting them and addressing their needs in both French and English
- Oversee the ordering and inventory of office supplies and equipment
- Coordinate office maintenance and liaise with service providers for repairs and upkeep
- Assist with the planning and execution of office events and meetings (including set-up and take-down)
- Provide administrative support to the management team, including calendar management, meeting coordination, and correspondence handling
- Prepare and edit documents, reports, and presentations in both French and English
- Assist with travel arrangements, including booking transportation and accommodations
- Handle incoming and outgoing mail and packages and manage email correspondence
- Answer and direct phone calls and emails, ensuring clear and professional communication in both languages
- Assist with the coordination of bilingual meetings, including preparation of materials and interpretation, as needed
Preferred Qualifications
- Basic understanding of HR procedures and office management practices is an asset
- Having a driver’s license and a car is an asset
