Requirements

  • 2+ years of experience in marketing, field coordination, or administrative support
  • Strong organization and time management skills
  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)

  • Ability to multitask, work under pressure, and meet tight deadlines

Responsibilities

  • Maintain digital and physical organization of marketing and field marketing files, assets, and calendars
  • Coordinate meetings, room bookings, meals, and travel as needed for team events or vendor visits
  • Assist with marketing project management, including updating documents, proofreading, and gathering quotes
  • Manage branded apparel inventory and distribution for the sales and marketing teams across all markets
  • Oversee print portal operations for marketing, events, and sales collateral
  • Track and reorder promotional materials, ensuring availability for all field initiatives
  • Coordinate with vendors for material production, contracts, and invoicing
  • Assist with scheduling and logistics for Neighborhood Canvassing, Retail, and Shows & Events
  • Organize event resources, including permits, booth materials, promotional items, and branded displays
  • Support data collection processes, ensuring timely and accurate lead entry
  • Prepare event performance reports and analyze ROI trends to help improve marketing outcomes
  • Facilitate onboarding for new marketing, sales, and field staff (e.g., apparel, collateral, setup tasks)
  • Track and process terminations, ensuring branded materials and assets are returned
  • Monitor and manage the marketing team’s shared inbox to ensure prompt follow-up and routing
  • Assist in expense tracking, checkbook reconciliation, and invoice processing
  • Flag budget concerns or variances for Marketing leadership
  • Help plan and coordinate community outreach initiatives such as sweepstakes, galas, and company service events
  • Support public relations tasks including award applications, internal recognition, and reputation initiatives
  • Assist in creating and maintaining training materials for field marketing representatives
  • Serve as a support contact for field staff, especially during events or urgent logistics needs
  • Foster alignment between field teams, marketing leadership, and call center operations

Preferred Qualifications

  • Experience with CRM tools (Salesforce preferred), project management platforms, or marketing software
  • Familiarity with Canva, Adobe Creative Suite, or digital content tools
  • Background or education in Marketing, Communications, or Business
  • Event planning or vendor coordination experience
