Requirements
- Bachelor’s degree
- Minimum of five years’ experience serving in an administrative or office manager capacity
- Skilled in database computer application systems
- Strong interpersonal skills and exceptional communication skills, both written and spoken
- Ability to write efficiently and succinctly in various forms
- High level of attention to detail, strong problem-solving abilities, and exceptional organizational skills.
- Ability to troubleshoot basic computer and AV equipment; tech savvy
- Self-starter with proven ability to work both independently and within a team, fostering effective relationships in a collegial environment.
- Working knowledge of Microsoft Office, with advance skills in Excel
- Relevant education and experience may be substituted as appropriate.
Responsibilities
- Oversee museum-wide technology, including, but not limited to, liaising with UT LAITs, managing and procuring business and staff computers, tech equipment, software and licensing, telephones and networking, marketing monitors, AV and computer needs and troubleshooting for museum meeting spaces and auditorium, lighting controls
- Oversee coordination of and maintaining stock in museum mailroom and staff breakrooms, including office supplies, business shipping, museum stationery, printers, other equipment, mail services/distribution, kitchen supplies
- Assist the Deputy Director of Operations and Administration, including project documentation, tracking, follow-up, and other responsibilities as required per project
- Manage various administrative duties, including, but not limited to, employee out-of-office calendar, open record requests, supplies orders, Blanton driver’s list, departmental parking permits, coordination of statistical and demographic surveys as needed, storage needs, and unit contact for email listservs
- Manage the museum’s space allocation and physical inventory items
- Liaison and collaborate with UT entities as necessary to fulfill the business needs of the museum, including UT Parking & Transportation Services, Document Solutions, LAITs, UT ITS, Docusign, Inventory Services, UT Networking, etc.
- Coordinate office occupancy and moves in collaboration with museum’s Human Resources and Facilities teams
- Develop, implement, and maintain museum-wide office policies and procedures that support efficient service delivery and meet the museum’s needs
- Maintain accurate records and documentation for areas of oversight
- Track spending in assigned budget areas and identify opportunities for cost savings
- Other related job duties as assigned
