Requirements
- 1-3 years experience as a receptionist, office manager, or similar position
- Strong interpersonal skills with an ability to interact with all levels, including the executive team
- Excellent time management and organizational skills

- Exceptional planning and problem-solving skills, with acute attention to detail

Responsibilities
- Responsible for all infrastructure necessary to allow for the day-to-day operations of the assigned facility; this may also include facilities outside of local presence, including managing significant programs, inspections, legal compliance, audits, safety compliance, and vendors.
- Manage a minimum of two direct reports at all times, including all associated budgets.
- Make hiring, disciplinary, scheduling, and performance decisions for direct reports.
- Develop and manage an onsite food services program and an in-house janitorial program, along with all associated budgets.
- Act as the liaison between the Workplace Service team and service providers, assisting with the coordination and scheduling of office, vendor, and building activities
- Arrange security clearance for all employees and guests, and assist in the creation of new employee badges as needed
- Ensure the office remains secure by closely following guest and visitor procedures, and escalating issues as necessary to the Asset Protection Team
- Work closely with the People team to assist with new employee set-up and orientation
- Monitor and order inventories of office supplies and PPE for all sites
- Assist in inventory/ordering snacks and supplies
- Stay up to date with International holidays and all they entail
- Manage major projects and/or programs as assigned. The associated budgets for these projects could exceed $100,000.
- Manage cross-functional projects, ensuring proper alignment with all major stakeholders
- Exercise autonomous critical thinking to troubleshoot issues as they arise, delegating to others as necessary
- Provide the highest level of customer service and respond to all inquiries of our partners
- Manage all incoming mail and packages, and distribute them appropriately
- Assist in ordering and organizing catering for meetings and events
- Assist with the planning and execution of company events
- Provide administrative and office assistance as needed
