Requirements

  • Two years professional office work experience
  • Knowledge of BYU mission and policies
  • Experience with MS Excel, Word, Adobe, Outlook, and BOX
  • Excellent interpersonal skills when dealing with other employees and/or the public
  • Ability to work with others campus-wide
  • Ability to maintain strict confidentiality and security of faculty files and contracts
  • Ability to multi-task and prioritize
  • Prompt, reliable and dependable
  • Knowledge of BYU policies and procedures
  • Ability to work under pressure and meet deadlines
  • Excellent independent judgement during decision making processes
  • Project management, files management, and organizational skills

Responsibilities

  • Assist in the recruiting process of part-time and full-time faculty and athletic professionals
  • Screen over 3,000 applications per year for all faculty classifications and athletic professional positions
  • Assist in monitoring about 1,000 clearance statuses per year for all faculty classifications and athletic professionals
  • Create, scan, and manage online and physical folders
  • Review and respond to Faculty Relations emails
  • Archive and maintain Faculty Relations records
  • Conduct thorough professional vetting of all applicants, about 1,000 per year
  • Troubleshoot and assist in Workday ‘Help Cases’ for all colleges and departments
  • Assist in the training of Business Partners, Chairs, and Operation Specialists on the Workday faculty recruiting and hiring processes
  • Coordinate meetings with colleges and departments, as needed
  • Verify and approve Adjunct Faculty, Affiliate Faculty, Visiting Scholar, and full-time Research Faculty positions
  • Verify, edit, and approve professional job postings for Adjunct, Affiliate, Visiting Scholar, full-time Research Faculty, and Athletic Professional job requisitions
  • Assist in new and ongoing projects when needed
  • Update and organize beard waiver spreadsheet
  • Support in approving adjunct Period Activity Pay, as needed
  • Support in entering full-time faculty and athletic professional data as needed
  • Support in entering and confirming full-time faculty information in the Workday system

Preferred Qualifications

  • Bachelor’s degree or equivalent combination of education and related experience
  • Current BYU HR information system experience
  • Contract and/or payroll experience
  • Training and public relations skills preferred
