Responsibilities

  • Manage daily mail operations for the global headquarters, including receiving, scanning, and routing physical mail to the appropriate internal contacts in a timely and secure manner
  • Develop and execute a strategic scheduling approach for multiple leaders, ensuring alignment with priorities and business goals
  • Serve as a key point of contact for executives, managing correspondence, scheduling calls, and proactively handling follow-ups
  • Organize and prepare materials for meetings, ensuring executives are equipped with necessary information and documents
  • Maintain sensitive and confidential records, ensuring proper organization and accessibility
  • Assist with special initiatives, research, and analysis as assigned by leadership
  • Coordinate domestic and international travel, optimizing logistics for efficiency and cost-effectiveness
  • Lead and support large-scale meetings (e.g., All-Hands), taking detailed notes and ensuring action items are properly communicated
  • Plan and execute office events that foster connectivity and recognize significant milestones for employees

Preferred Qualifications

  • Proficiency in Google Suite (Calendar, Gmail, Drive) preferred
  • Ability to push back when necessary while maintaining diplomacy and professionalism
