Requirements
- At least three to five (3-5) years of executive assistant experience (supporting a VP or above) required.
- Bachelor’s degree in a related field or equivalent experience required.
- Strong proficiency using Microsoft Office software (such as Word, Excel, PowerPoint, and Outlook), collaboration tools (such as Teams and Zoom), and Adobe Acrobat required.
- Must have the ability to communicate effectively and tactfully (both verbally and in writing) with individuals and groups at all levels of the organization, as well as with external stakeholders (such as vendors).
- Must have the ability to organize, work well under time constraints, meet deadlines, and manage multiple tasks and project elements simultaneously. Strong organization, logistic, and project coordination skills strongly preferred.
- Must have the ability to pay close attention to details and handle confidential material.
Responsibilities
- Manage calendars, schedule meetings, and handle appointment conflicts for several Vice Presidents (VPs). Coordinate and prioritize incoming requests, ensuring all deadlines are met.
- Arrange and facilitate meetings, including agenda preparation, document distribution, and note taking as needed. Secure meeting rooms, set up Zoom and Teams meetings, request drive-on passes for external attendees, order catering items/meals, as well as tech troubleshooting in conference rooms (setting up and activating calls, etc.).
- Coordinate domestic and international travel for the VPs, including flights, accommodations, itineraries, reviewing arrangements, and securing approval for all travel requests. Prepare and track all related Travel & Expense (T&E) reports.
- Assist with budget tracking, expense reporting, and procurement of department-related materials. Serve as reconciler for department Purchasing Cards (PCards).
- Serve as primary point of contact for internal and external stakeholders on behalf of the VPs.
- Ensure seamless communication between departments, handling sensitive information with the highest level of professionalism and discretion.
- Assist in drafting/editing communications, executive reports, presentations, weekly departmental updates, and other documents as requested by the VPs.
- Collaborate with other executive assistants to ensure alignment across departments for all activities.
- Perform other related duties as assigned.
Preferred Qualifications
- Previous experience working in highly matrixed organizations with blended teams (face to face and remote) preferred.
- Previous experience with SAP or a comparable payment system, expense report generation, and invoice processing preferred.
- Familiarity with the DC brand and/or entertainment industry is a plus.
