Requirements

  • Prioritization & Time Management – Ability to juggle multiple tasks, manage complex calendars, and meet tight deadlines with minimal oversight.
  • Stakeholder & Relationship Management – skilled at working with cross-functional teams and executives; understands how to build trust, manage up, and influence without authority.

  • 6+ years of proven experience as an executive assistant or other relevant administrative or project management experience.
  • Strong writing skills – you’re comfortable setting and accepting direction over email/Slack (either 1:1 or with a large group).
  • Strong relationship builder – you have a track record of taking the time to get to know your key stakeholders, understand their needs and working styles and you know how to coordinate people to get things done.
  • Ability to work in a fast-paced environment, prioritize and perform a variety of tasks with little supervision, a strong sense of urgency, and a positive can-do attitude.

Responsibilities

  • Collaborate with leaders to understand priorities and build effective organizational processes.
  • Lead the development and execution of special projects and initiatives from executives.
  • Execute logistics for senior leadership meetings and off-site events.
  • Prepare presentations, proposals, reports, and business communications.
  • Partner with internal and external stakeholders to coordinate meetings, events, and communications.
  • Managing Executive Calendars & Scheduling Complex Meetings – Including across time zones, with internal and external stakeholders, and adjusting quickly to shifting priorities.
  • Owning Logistics for High-Stakes Meetings & Offsites – Coordinating agendas, venues, tech setup, prep materials, travel, and follow-ups for leadership meetings, all-hands, or team events.
  • Handling Confidential Information with Discretion – Supporting sensitive business decisions, personnel matters, or strategic initiatives while maintaining full trust and confidentiality.
  • Communicating on Behalf of Leadership – Writing emails, drafting decks, and relaying information in a clear, aligned voice—often anticipating what needs to be said or clarified.
  • Being the “Air Traffic Controller” for Special Projects – Stepping into ambiguous situations to organize people, define next steps, and push initiatives forward without needing constant direction.
