Requirements

  • Must have at least seven years of experience as an administrative assistance at least three of which supporting a C-level executive.
  • Must operate with discretion with sensitive information in all contexts.
  • Excellent relationship management skills: ability to understand the players, their needs, their timelines, and treat them with dignity.
  • Excellent project management skills: ability to orient the players, the deliverables involved, the activities required to meet them, and the shared timeline to execute.
  • Excellent verbal and written communication skills: crisp, clear, kind.
  • Remains calm when plans change or go awry.
  • Anticipates needs and identifies challenges before they arise and the ability to solve for them or communicate barriers.
  • Ability to collaborate effectively with people all over the world and at all levels of accountability.

Responsibilities

  • Coordinate and manages CEO’s calendar, anticipating and proactively resolving conflicts to ensure time is used efficiently.
  • Ensure the executive leader is adequately prepared for meetings and with advanced documentation reviewed.
  • Analyze, assess, and prioritize information for the CEO in preparation for key meetings and/or potential action related to agency-wide matters.
  • Plan and execute special events and meetings, including arranging facilities and managing logistics.
  • Coordinate domestic and international travel arrangements to include accommodations, transportation, and meals.
  • Reconcile and submit expenses in Concur.
  • Establish and maintain effective working relationships with staff and stakeholders, including external clients.
  • Interprets requests and helps implement action, deciding whether the executive should be notified of important or urgent matters.
  • Responds to or routine non-routine, priority, or confidential inquiries from external or internal sources with correspondence or other messaging on behalf of the CEO.
