Requirements
- Bachelor’s Degree or equivalent work experience.
- 3+ years of experience supporting senior level executives including calendar management and travel.
- Experience working in a highly ambiguous, fast-paced environment and ability to operate a high degree of autonomy.
- Demonstrated ability to make decisions independently, anticipate executive needs, and manage competing priorities.
- Possess excellent verbal, communication, and multitasking skills.
- Ability to work independently and collaboratively across teams.
- Familiarity with the Microsoft Office suite.
Responsibilities
- Manage complex and dynamic calendars for one or more C-level executives and team leaders, exercising independent judgement to prioritize meetings, events, and commitments based on business impact and urgency.
- Make scheduling decisions on behalf of executives, including resolving conflicts, declining or rescheduling meetings, and determining attendance at internal and external engagements.
- Coordinate cross-functional scheduling to support company-wide initiatives and seasonal business cycles.
- Draft and edit executive-level correspondence, meeting materials, and briefing documents.
- Serve as a liaison between executive leadership and internal/external stakeholders, managing the flow of high-level information with discretion and accuracy.
- Maintain confidentiality and handle sensitive business information with a high level of professionalism and discretion.
- Plan and manage international and domestic travel logistics, including itineraries, meeting preparation, and real-time adjustments based on shifting business priorities.
- Liaise closely with Security, Facilities, HR, and Executive teams to support company-wide initiatives.
- Lead special projects and initiatives assigned by the Executive team, exercising independent judgment and problem-solving skills.
- Oversee front office operations including, but not limited to ensuring a professional, organized, and welcoming environment for employees and guests, managing maintenance requests, and service as point of contact for building management and service providers.
- Manage vendor relationships, office supplies, and workspace logistics in partnership with stakeholders such as IT and facilities.
- Coordinate meeting room availability, cleanliness, and setup for internal and external meetings.
