Requirements

  • Proven experience as an Executive Assistant or similar role, preferably within a corporate or Private Equity environment.
  • Exceptional organizational and time management skills, with the ability to prioritize and multitask effectively.
  • Strong communication skills, both verbal and written, with a keen attention to detail. Bilingual French is a plus!
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and document management tools e.g. OneDrive, Adobe.
  • Ability to work independently and as part of a team, demonstrating a proactive approach to challenges.

Responsibilities

  • Administrative support: manage complex and dynamic calendars, schedule meetings, coordinate travel arrangements and proactively anticipate needs for the President America’s and MD Canada.
  • Communication: serve as the primary point of contact between executive leaders and internal/external stakeholders, ensuring timely and effective communication.
  • Documentation: prepare and edit high quality reports, presentations, and correspondence; maintain accurate records and files.
  • Meeting coordination: organize and assist in meetings, including preparing agendas, sourcing internal and external venues, coordinating logistics for attendees and following up on action items.
  • Confidentiality: handle sensitive information with discretion, demonstrating the utmost confidentiality and professionalism.
  • Project management: lead in the planning and execution of special projects and initiatives, tracking progress, reporting on outcomes and identifying opportunities for improvements.

Preferred Qualifications

  • Bilingual French is a plus!
