Requirements

  • Show proficiency with Microsoft Office Suite, Teams, SharePoint, and calendar management tools (e.g., Outlook).

Responsibilities

  • Manage complex calendar scheduling, travel arrangements, and expense reporting with a high degree of accuracy and confidentiality.
  • Serve as the primary liaison between the VP and internal/external stakeholders, ensuring timely and effective communication.
  • Anticipate the VP’s needs and proactively address administrative and logistical challenges.
  • Coordinate and prepare materials for key leadership meetings, town halls, off-sites, and workshops – including drafting agendas, capturing action items, and tracking follow-ups.
  • Establish and maintain cadence across strategic meetings (e.g., tech management reviews, collaboration sessions), ensuring alignment across teams.
  • Own onboarding logistics for new leaders and key team members, streamlining their integration and engagement.
  • Plan and execute internal events, such as leadership retreats, team-building activities, and vendor/customer visits.
  • Partner with cross-functional leads to ensure timely execution of shared deliverables and communications.
  • Draft, format, and help deliver internal communications on behalf of the VP to ensure clarity and cultural consistency.
  • Be a culture carrier for the department – helping coordinate recognition moments, milestones, and morale-boosting activities.
