Requirements

  • Professionalism with demonstrated administrative support experience, strong service orientation, communication, interpersonal and persuasive skills for effective interaction with various levels of people internally and externally.
  • Ability to take initiative, with a strong sense of urgency, assertiveness and willingness to accept a wide range of responsibilities.
  • Strong planning and organizational skills, attention to detail and the ability to prioritize responsibilities and work independently. Ability to independently plan ahead work/tasks to keep senior management and projects on schedule, despite numerous conflicting priorities and changes.
  • Excellent written and verbal communication skills to compose correspondence and other documentation and engage directly with other executive leaders and stakeholders.
  • Demonstrated ability to exercise discretion, sound judgment and problem solving while working independently with critical, confidential and time sensitive information.
  • In office requirement of 3 days per week in our hybrid environment, however, the in-office needs may exceed this requirement.

Responsibilities

  • Performs advanced level of diversified confidential administrative duties, oftentimes where information needed is unknown and complex coordination is required. These duties require broad and comprehensive experience in the role, organizational knowledge and advanced critical thinking and problem-solving skills.
  • Coordinates leaders’ daily tasks and calendar. Independently prioritizes meetings, requiring an understanding of critical attendees and ability to exercise confidentiality. Screens and prioritizes emails and escalates priority items.
  • Drafts, edits and distributes communications sent to a broader audience. May communicate and coordinate regularly with external councils, boards and business executives. May also help coordinate and prepare materials for board meetings and other executive meetings.
  • Exercises full autonomy in troubleshooting issues as they arise and anticipates and manages the impact on the individual(s) they support.
  • Conducts broad range of research for leader(s) and/or their direct reports. Reviews and summarizes complex, confidential data. Provides recommendations.
  • Proactively prepares for executive staff meetings and meetings with cross-functional leaders by setting agendas, editing and organizing materials (such as special reports, presentations, etc.), taking minutes/ documenting action items, and ensuring principal and participants are prepared with pre-read materials and talking points, if needed.
  • Coordinates materials and preparation for Investment Committee of the Board, including communication with Securian Investment Committee members and attending meetings to aid in facilitation.
  • Coordinates events and functional projects in support of broader function needs, including department townhalls, culture team events, and meetings with outside partners.
  • Provides coordination and support for Executive Leadership Team (ELT) monthly meetings and retreats in partnership with Chief of Staff and Enterprise Strategy team and event planning team.
  • Serves as a liaison to leaders for onboarding new associates to ensure a consistent experience across teams and participates in asset management culture focused initiatives.
  • Subject matter expert on processes and procedures. Provides recommendations to leader, admin community and/or functional leads to create efficiencies.
  • Acts as liaison for enterprise facilities and technology issues. Identifies opportunities for the use of enhanced technology, etc.
