Requirements

  • Two years of secretarial or basic administrative support experience that includes records processing, generating documents, and gathering and sorting data
  • An associate degree in general office occupations and one year of experience with records processing, generating documents, and gathering and sorting data
  • An equivalent combination of education and experience
  • Driver’s License Check – This position requires the operation of a state vehicle for the purpose of conducting official State business. If your license is from outside Oregon, you must submit at least a three-year court/DMV printout. If you have an Oregon driver’s license, a record check will be conducted on the top candidate to ensure a valid license and acceptable driving record.

Responsibilities

  • Provide specialized technical functions for a variety of programs including State Forests, Private and community forest and Protection from Fire Divisions.
  • Delivery of quality customer service to the public; other local county, state, and federal agencies; contractors; constituents; industry; department managers and employees; and business liaisons.
  • Explain rules, policies/procedures, and laws for customer clarification and problem solving.
  • Coordinate and create procedures and processes to ensure accurate and coordinated flow of data and information required for services provided.
  • Facilitate training or provide direction regarding established rules and regulations.

Preferred Qualifications

  • Experience entering and tracking Accounts Payable, requisitions, and expenditure corrections. Review bills, invoices, and statements.
  • Cash handling and balancing experience.
  • Review payroll and timesheets for accuracy.
  • Experience coordinating and maintaining radio contact with field employees during emergency and non-emergency situations.
  • Ability to use the following equipment: personal computer and printers using a wide variety of computer programs, multi-line phone system, copy machine, two-way radio, calculator, postage meter, and fax machine.
  • Advanced knowledge of computers including Microsoft Office products; especially Excel.
  • Ability to communicate effectively and professionally, both orally and in writing.
  • Advanced customer service skills.
