Requirements

  • 5+ years of relevant administrative, operational, or project coordination experience, preferably in an entertainment, media, or creative business environment.
  • Previous experience with building presentation slides, managing databases, and interpreting contracts.
  • Self-starter with a strong desire to learn, develop, and grow.
  • Excellent written and oral communications skills.
  • Interest in and appreciation of animation is a must.

Responsibilities

  • Schedules meetings, manages calendars, and coordinates logistics for Studio Business Operations leadership and team members.
  • Organizes meetings across departments and ensures all necessary prep materials are distributed.
  • Documents and distributes meeting notes, including key discussion points, action items, and deadlines.
  • Provides admin support for special projects and assists in planning internal events or BU activities.
  • Assists with internal communications efforts.
  • Inputs, updates, and maintains studio databases in Smartsheet, Excel, and other databases, with show data, delivery timelines, deal/agreement notes, and other key fields.
  • Helps ensure trackers are kept in sync with internal/external databases by setting up or monitoring Smartsheet automations (e.g., DataMesh).
  • Supports the compilation and formatting of weekly and monthly business unit reports.
  • Maintains organized shared drives and file structures for the Studio Business Operations team; regularly checks for naming consistency and outdated files.
  • Assists in the preparation of presentations by gathering data, organizing content, and formatting slides.
  • Helps conduct research on industry trends or internal performance data, and summarize findings.
  • Tracks deliverables, dates, and milestones across select studio initiatives; flag upcoming deadlines or required follow-ups to the team.
  • Supports processes tied to music releases and other commercial projects.
  • Supports the maintenance of team processes, tools, forms, templates, and trackers that help run the day-to-day operations across creative and business functions.
  • Assists in rolling out updates to tools and templates by coordinating with stakeholders and sharing updated materials.
  • Documents updates to processes and distribute clear, easy-to-follow instructions or reference materials to internal teams.
