Requirements

  • Strong background in executive support

  • Critical thinking and anticipation of needs
  • HS Education required, bachelor’s degree strongly preferred
  • Minimum 10 to 12+ years of professional experience supporting senior management in an administrative capacity, ideally in the chemical, manufacturing or related industry
  • Effective written and oral communication skills with strong attention to detail
  • Exceptional organizational skills with meticulous attention to detail
  • Tech-savvy, including proficiency with a variety of complex office automation tools and software, including proficiency in PowerPoint, Excel, Word, and SharePoint
  • Knowledge and familiarity with AI tools such as ChatGPT and Microsoft Copilot
  • Experience with heavy calendar management and domestic/international travel coordination
  • Demonstrated ability to interface with technical manufacturing personnel and high-profile executives
  • Proven track record of handling sensitive information with complete confidentiality
  • Ability to work independently and exercise sound judgment in ambiguous situations
  • Ability to keep the executive on track/remind him to get to meetings on time
  • Collaborative, team-player mentality

Responsibilities

  • Manage calendars, including scheduling meetings, appointments, and travel arrangements
  • Serve as a gatekeeper, screening and prioritizing incoming communications and requests
  • Coordinate communication with internal leaders, board members and external stakeholders
  • Prepare purchase requisitions, travel arrangements and expense reports
  • Consolidate and prepare information and presentations with great attention to detail
  • Proficient in preparing and amending PowerPoint presentations and excel reports including board presentations and strategy documents
  • Coordinate logistics for meetings/events including room set up, meal arrangements, agenda preparation, minute-taking, and follow-up on action items
  • Maintain professionalism and handle confidential and sensitive information with unwavering discretion
  • Work collaboratively with other Executive/Administrative Assistants to coordinate calendars with executives and team members from other departments
  • Ensure excellence in complex meeting/event preparation, including AV setup, room scheduling, and telepresence events
