Requirements

  • 5+ prior a professional meeting planner or closely related field preferably with a financial firm.
  • Strong project management, time management, multi-tasking, and ability to set priorities
  • Must be detailed-oriented, show initiative and work effectively as both a team member and independently. Thinks creatively and is a self-starter.
  • Strong verbal and written communications skills including superior proofreading skills
  • Strong interpersonal and customer service skills.
  • Has experience/feels comfortable dealing directly with members of senior management on a regular basis
  • Demonstrates high level of judgment and ability to respond quickly and diplomatically to stressful, difficult and changing situations. Proactively identifies issues and finds a reasonable solution.
  • Ability to work extended hours which may include early morning and evening event support.
  • Proficient in Microsoft Office suite including Excel, Word, PowerPoint, Outlook and Sharepoint
  • Experience managing meetings using a Registration Management System

Responsibilities

  • Deliver the JPMorgan Chase event standards at every level.
  • Plan events that can range from 20 to 300 people, with various degrees of complexity.
  • Monitor/manage the project including; creation of project plans and budgets (prepare, manage & reconcile).
  • Adhere to departmental procedures and processes.
  • Mitigate risk and compliance aspects for each event
  • Collaborate and interact effectively with Firm’s senior management, middle management and customers.
  • Provide strategic input and recommendations to business group on event development.
  • Maintain partnering relationships with internal business partners such as Conference -Services, Global Technology team, Security and Facilities.
  • Manage all aspects of events including but not limited to: concept proposal development, content creation and management (agendas, conference books, signage), conference branding (in conjunction with creative services), speaker management (invitations confirmations, bios, prep calls), creative writing for invitation, development of website content (partnering with web team on website production), registration management, giveaways, entertainment, activities, total logistics coordination and production (menus, setup, audio visual, printing of name badges)
  • Manage a virtual and hybrid meeting.
  • Plan and execute industry sponsorships: Function as liaison to vendors, industry conference planners and key stakeholders regarding booth requirements and set up, printing and delivery of collateral and gift items, delivery of logos, firm profile and any other event-related requirements.
