Requirements
- Proven experience managing multiple office locations, some remotely
- Experience maintaining required and up to date signage for offices
- Experience partnering closely with building management
- Experience partnering closely with internal IT to ensure working office equipment
- Ability to source and maintain effective vendor relationships
- Ability to partner across and at all levels of the organization
- Ability to manage challenging and conflicting priorities
- Excellent interpersonal and communication skills and ability to work with different cultures and ways of doing business
- High attention to detail
- Proficiency with the entire Google Suite, including Gmail, Calendar, Docs, etc.
- Understanding of office safety requirements including CPR, food handling, and handling of emergency situations
- Ability to travel up to 10% of the time
Responsibilities
- Oversee day to day operations of all Prove office operations, including but not limited to, ordering of supplies and snacks, maintaining proper signage, visitor management, inbound communication management (phone, mail, messages), group lunch setup and clean up, etc.
- Vendor support for all office functions, including maintenance, mail, snacks, office supplies, etc. and events as needed
- Knowledgeable point of contact for all office locations including, how to enter, preferred airports and hotels, transportation, etc.
- Calendar maintenance for office operations (board meetings, planning guests, candidate interviews, etc.) and in-person and virtual events
- Support communication and promotion drafting and sending for office and event notifications
- In-person and virtual event support, including RSVP tracking, content collection, ordering supplies, swag distribution, on-site support, and conference logistics
- Other duties as assigned
