Requirements

  • 1-2+ years of experience as an Administrative Assistant, Office Manager, or similar role (experience in a startup or fast-paced environment preferred)
  • Exceptional organizational and time-management skills
  • Strong written and verbal communication skills
  • High degree of professionalism and discretion with confidential information
  • Tech-savvy: comfortable with Google Workspace, Slack, Notion, Zoom, and productivity tools
  • Ability to work full-time, in-office, with occasional flexibility for early/late meetings or events

Responsibilities

  • Manage and optimize calendars, schedule meetings, and coordinate internal and external appointments
  • Act as the point of contact between executives and stakeholders, managing communications with discretion and professionalism
  • Prepare agendas, take detailed meeting notes, and follow up on action items
  • Coordinate travel arrangements, accommodations, and itineraries
  • Assist with office operations, vendor management, and event planning (e.g. team offsites, client meetings)
  • Support special projects and ad hoc tasks that help the executive team operate more efficiently
  • Anticipate the needs of leadership and take initiative to solve problems before they arise
