Requirements

  • 2-3 years of experience in Human Resources, ideally in a coordinator or administrative role with exposure to global HR operations
  • Experience shifting from manual processes to automated workflows
  • Strong attention to detail, organization, and accuracy; able to manage multiple priorities and meet deadlines; able to take direction from multiple sources
  • Self-starter with a strong work ethic and a team player
  • Confidentiality with handling sensitive employee information
  • Strong interpersonal, written, and verbal communication skills
  • Familiarity with HR systems (e.g., ADP, Greenhouse, etc.) and Microsoft Office

Responsibilities

  • Coordinate onboarding sessions and ensure all logistics, documentation, and system updates are completed for new hires across the U.S. and international locations.
  • Support onboarding program and help new employees integrate into PsiQuantum during their first 90 days.
  • Partner closely with Recruiting, Legal, IT, Immigration, and Payroll to ensure a smooth candidate-to-employee experience.
  • Assist in the coordination, documentation, and communication of U.S. and international benefit programs.
  • Become the first responder for employee HR inquiries and escalate as needed to the appropriate internal or external partners.
  • Maintain accurate employee records in ADP and SharePoint, including updates related to new hires, terminations, compensation changes, and promotions.
  • Draft and issue employment verification letters and other employee-related documentation.
  • Provide timely and effective employee support through HR email/Slack coverage and help maintain employee relations case records.
  • Own and manage the administrative components of several vendors and accounts, including NetSuite, Carta, Brilliant, Concur, and ADP.
  • Track and coordinate compliance-related trainings, including harassment prevention and health & safety trainings.
  • Support workers’ compensation documentation and assist with audit preparation.
  • Assist with U.S. government-mandated reporting by pulling HR data and organizing necessary materials (e.g., EEO-1, VETS-4212, AAP, 401k filings).
  • Partner with recruiting and external immigration counsel to gather documentation and coordinate immigration-related activities for U.S. and international employees.
