Requirements
- 4+ years of executive-level administrative support, preferably within business and corporate development
- Experience scheduling and coordinating varying levels of internal and external meetings and events
- Proficiency in tools such as Zoom, Outlook, Word, PowerPoint, Google Suite, and expense reporting software like Coupa
- Strong organizational skills to manage tasks and work with key stakeholders to resolve operational issues
- Adaptability to changing priorities and last-minute adjustments
Responsibilities
- Build and maintain relationships with external contacts and their executive assistants to ensure streamlined scheduling, efficient handling of calls and emails, and seamless support in advancing the executive’s priorities and relationships
- Build strong working relationships with internal teams, including administrative and support staff, to navigate company processes, resolve logistical issues, and coordinate assistance for needs like technology updates and security requests
- Scheduling and managing executives’ calendars, resolving conflicts, and coordinating meetings with internal and external stakeholders
- Organizing company-wide and external engagements, including planning logistics, preparing materials, and arranging catering when needed
- Managing expense reports, reimbursements, travel itineraries, and logistics for domestic and international trips
