Requirements

  • High school diploma or equivalent; an associate’s or bachelor’s degree in Business Administration or related field is preferred.
  • Minimum of 5 years of experience as an Executive Assistant or in a similar administrative role, preferably in a manufacturing environment
  • Exceptional organizational and time-management skills.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Excellent written and verbal communication skills
  • Ability to handle confidential information with discretion.
  • Strong problem-solving skills and attention to detail.
  • Ability to work independently and as part of a team.

Responsibilities

  • Provide high-level executive support to the Plant Manager, including managing schedules, organizing meetings, room arrangements, coordinating travel arrangements, and handling confidential information with discretion.
  • Serve as a liaison between the Plant Manager and internal/external customers ensuring clear and timely communication. Draft, proofread, and edit emails, presentations, and reports as required.
  • Organize and manage site events, all employee meetings, and other team-building activities, working with cross-functional teams to ensure smooth execution.
  • Prepare, organize, and maintain essential documents, presentations, and reports, ensuring accuracy and compliance with company standards.
  • Assist in managing special projects or initiatives as assigned by the Plant Manager, including project tracking, follow-up on action items, KPI’s, preparing project-related documents and communications.
  • Coordinate and support daily office operations, including supply management, vendor coordination, expense reporting and other administrative tasks to ensure a smooth and efficient office environment.
  • Schedule and prepare for meetings, including preparing agendas, meeting materials, taking minutes, and following up on action items.

Preferred Qualifications

  • An associate’s or bachelor’s degree in Business Administration or related field is preferred.
  • Experience in a manufacturing environment is preferred.
