Requirements

  • Bachelor’s degree and three years of administrative experience supporting students and staff in higher education.
  • Demonstrate the ability to explain complex policies, procedures and facilitate large and small group trainings.
  • Must have strong organization skills and ability to maintain high volumes of data.
  • Must have the ability to work in a small work team environment and be able to manage multiple simultaneous projects.
  • Must have the ability to work both independently and as a member of a team, collaborating across units as needed.
  • Demonstrate a strong positive attitude, attention to detail, communication skills, customer service, growth mindset, and problem-solving abilities.

Responsibilities

  • Manages finances, oversees purchasing and reimbursements that ranges from 1.5 million to 2 million annually. Financial responsibilities include but are not limited to processing of purchase orders, pro-card management, cash/check deposits, travel authorizations, travel reimbursements, account transfers, vendor setups, and contracts. Supervise student employees.
  • Creates, processes, and maintains documents for all travel (including, but not limited to airline tickets, hotels, conference registrations, rental vehicles and charter buses, processing RTAs and all travel reimbursements).
  • Provides accounting and travel training for student organization leaders, problem-solving and resource consultations for engineering student organizations.
  • Assists in maintaining student organization annual reports and other student organization data including quizzes, donation reports, and training records throughout the semester.
  • Acts as CSE student organization’s liaison to outside vendors. Assists reviewing and approving student organization corporate packets.
  • Other functions as assigned.

Preferred Qualifications

  • Seven years of clerical experience, including one year at either the Administrative Assistant or the Administrative Associate level with a High School Diploma or GED
  • More than the required administrative experience, with examples of experience gained.
  • Knowledge of UT Austin systems and processes such as DEFINE, procurement procedures, and travel management.
  • Experience working with students, faculty, and staff at UT Austin or other higher education institution.
  • Ability to work in a fast-paced environment with multiple processes and deadlines.
  • Experience with budgeting, accounting and supervising student workers.
