Requirements
- High School Graduate
- High level ability to plan, organize, analyze and coordinate data/information and activities.
- High level ability to function independently, make valid judgments to ensure the integrity of operations and exhibit initiative in the completion of tasks.
- Ability to establish and maintain effective working relationships within and external to the Health System.
- Outgoing personality with high service orientation.
- Able to work in a stressful environment and capable of coping with complex situations.
- Ability to handle highly sensitive information with complete discretion and confidentiality.
- Complete tests on computer skills and office grammar and spelling.
- Excellent verbal and written communication skills including a high degree of professionalism and personal presence.
- Considerable knowledge and skill in using the personal computer including spreadsheet, word processing, database and presentation software.
Responsibilities
- Provides administrative support directly to all executives, the department and coworkers on the team, exercising confidentiality, tact and diplomacy.
- Competently uses business software applications (e.g. email/scheduling, word processing, presentation, spreadsheet, virtual meeting rooms, and ERP) to prepare correspondence, reports, presentations, agendas, minutes, etc.
- Provides basic desktop support assistance on these same applications, as well as managing the maintenance of the executive’s overall technology needs.
- Receives, screens and directs calls, visitors, emails and requests from direct reports.
- Maintains files and calendars, tracks tasks and downline functions on behalf of the executive.
- Arranges business travel, coordinates meetings and tracks expenses.
- Models and develops business standards, policies and practices for the entire organization in this functional area.
- Accomplishes all tasks at or above standard with minimal supervision. Commitment to impeccable work product, i.e., spelling, grammar, fact-checking, editing, etc.
- Typically supports executives up to Senior Vice President.
- Must be able to perform the professional, clinical and or technical competencies of the assigned unit or department.
