Requirements
- 3–5 years in recruiting coordination, HR operations, or similar administrative roles within high‑growth tech or healthcare.
- Mastery of ATS platforms (Lever, Greenhouse, or equivalent) and familiarity with HRIS/payroll tools (Rippling, Gusto, Workday).
- Calendar ninja: proven ability to manage complex, multi-location interview schedules across time zones.
- Working knowledge of I‑9, E‑Verify, and basic employment law; comfortable handling confidential data.
- Proficiency with Google Workspace, Notion, and Slack; Canva skills a plus for employer‑branding assets.
- Meticulous attention to detail, process thinker, and relentless follow‑through.
- Warm communicator who elevates candidate and employee experience.
Responsibilities
- Coordinate end‑to‑end interviews—owning requisition kick‑offs, calendar invites, panel builds, room/Zoom logistics, interviewer prep packets, and day‑of troubleshooting.
- Deliver white‑glove candidate experience—proactively communicate timelines, travel, reimbursements, and next steps.
- Maintain the HRIS (Gusto) with pristine data: candidate statuses, interview feedback, and onboarding tasks.
- Drive pre-boarding compliance—collect and verify I‑9s (E‑Verify), complete background screenings, coordinate license/credential checks as needed.
- Set up payroll & systems access—create profiles in Gusto, enroll benefits, and support provisioning of email, Slack, Notion, and other accounts.
- Reporting & Analytics—track essential recruiting and people operations metrics providing visibility to Talent Acquisition and Talent teams on regular cadence.
- Special projects—support employer branding, career‑site updates, and People Ops process documentation.
