Requirements

  • Has familiarity with HRIS systems (Workday preferred)
  • Is approachable and able to maintain confidential and sensitive information – as this person will often be the first point of contact for sensitive Accommodation & Leave requests.
  • Can react quickly and consistently deliver against tight deadlines with accuracy and completeness.
  • Is confident interacting and presenting to employees, sometimes in a group setting.
  • Ability to think and work both independently and as part of a team.
  • Ability to maintain strict confidentiality and develop the trust and integrity needed to handle sensitive and confidential information and documentation.

  • Strong interpersonal and communication (verbal & written) skills; proven ‘customer service’ skills; ability to interact with all levels of employees across the firm.
  • Strong Microsoft PowerPoint and Excel skills including ability to create sophisticated PPT decks and analyze large amounts of data (including at a minimum use of pivot tables, v-look-ups, if-statements and other Excel formulas as well as Excel charting/graphing skills).
  • Knowledge of Workday, ideally within benefits and absence modules.

Responsibilities

  • Support the Benefits Manager with administration of health insurance, income/disability protection, retirement, time-off and leaves as well as well-being related benefits across the Americas working directly with designated brokers and vendors
  • Act as a subject matter expert in HarbourVest benefits and leave practices at the Federal, State and local levels (Massachusetts in particular) related to all types of life events, in particular sophisticated leaves of absence
  • Support our Canadian employees from a benefits perspective by assisting with new hire benefit on-boarding, life event changes and benefit overview presentations; act as point of contact for Canada-specific benefits-related questions
  • Participate in the rollout of benefits and life events in our HRIS/Workday system, including maintenance of and enhancements to our business processes including Open Enrollment, qualifying event changes, data management, reporting, employee experience, etc.
  • Assist with the implementation and rollout of new benefits in existing locations as well as new office openings
  • Liaise as needed with outside vendors regarding contracts, invoices, and the reconciliation of bills with Finance
  • Respond to employee queries related to benefits and life events via our Workday Help platform
  • Assist with coordination and execution of Compliance-related requirements such as non-discrimination testing, HIRD and ACA/1095-C filings, among others.
  • Run the successful completion of audits and adhere to compliance standards
  • Assist HR Manager, Benefits with ad-hoc projects and tasks as needed.

Preferred Qualifications

  • Bachelor of Arts (B.A) or equivalent experience
  • Bachelor of Science (B.S) or equivalent experience
  • 3+ years HR experience specific to benefits (Workday and/or absence management experience a plus).
  • Experience with US federal/state laws and regulations related to labor laws and benefits administration preferred.
